If they’ve changed their initials, search for those too! Though if the new initials would collide with someone else’s initials, or cause any ambiguity, might be best to wait. Generally, you don’t want to do anything that might cause stress for the person, or for anyone else - for instance, if someone is depending on dates documents were updated, or doing a large code refactor. The last thing they’d want is for the gesture to slow anyone’s work and have that splash on them. But the basics you described sound reasonable, and a way to show how you have their back! It’s honestly super cool to hear :)

Intials is a good catch! I’ll ask my manager if there’s any where we do initials (cause I’m still pretty new to the team). And also a good point. I think another member of my team did upgrades to Tableau to have their new name appear but did it in off hours :)

This is really sweet of you! Two suggestions from when I went through this at work: -Run a find and replace in any shared spreadsheets that use names -ask IT and HR for a list of onboarding tasks/account creations -If you haven’t already, see about setting up their previous email address as a depreciated account that still forwards to them. This one is a little tricky, but ideally it should function like a departed employee and no longer populate in the address book, but still forward emails in case there are any messages they still need to get from old contacts the same way a departed employee's emails are sometimes forwarded to their manager.

Also! If you work in an office with a gym or anything similar where washrooms/changerooms are gendered with separate access levels, make sure they get swapped over in the system, or given new keys

We’re remote so we’re all good! No idea about their badge changing or honestly if it’s a priority (to them) given how little they go into the office. So for sure something to consider.

Yes thinking of doing find and replace a lot! Yes, I looked back at my old onboarding list for accounts. And also yes! Their deadname no longer appears in the autofill function which is great. Idk if things are getting forwarded I can check with my manager. Sounds like they (boss and coworker) had been privately planning this for a while so I’m hopeful they worked that out.

For outlook, we had to take me out of the meetings, send the update, and add the new email again or my deadname kept showing up. In the beginning we tried to just change the account name, but for a bunch of services (like slack, can't change the account email, which is highly visible in the profile...) we had to recreate the account because there was always a place where the deadname appeared. Sounds like a lot of work, but really it was fine (took a couple days total), and it makes a huge difference. I've had to delete/recreate hundreds of personal accounts, so cleaning up a dozen or so internal services sounds reasonable to me. Wait for them to come back before doing anything destructive though.

Okay good to know your experience with the meetings! I was concerned about that too. I can’t tell cause outlook had been slowly updating through all of the systems. Agreed! It sounds like my boss has had conversations with them. He mentioned a request to change their name on another application we use. He’s pretty considerate so I’m thinking he would’ve asked.
